Industry Speak – Unravelling Events Jargon

This glossary is not a comprehensive guide but a useful reference to terms frequently used in the event industry:

Build-up and Breakdown

Additional time to set up and dismantle audio/visual and production equipment. If you need access in advance or after the event there may be an additional charge, depending on the time required.


Free of Charge / Complimentary room hire or equipment

Provisional Booking

Verbal or written temporary agreement to book a date and room. Usually an expiry date is allocated to terminate the temporary agreement, should the booking not be confirmed.

Confirmed Booking

Verbal or written agreement to proceed with the booking.


Binding agreement where there are legal responsibilities for both parties.


Audio Visual Equipment

Dry Hire

Dry hiring (or cold hiring) is the act of hiring only the physical product. For example paying for the hire of the venue hire room without any other services such as AV or catering equipment or services.


Agreement by a hotel to hold an agreed quantity of bedrooms at a fixed rate, for a set period of time.
